Volunteer Admin Worker

Part-time: 2 days per week, 6 - 8 hours minimum. Hours to be agreed

Purpose of the role
Assisting the office team with all routine administration duties as appropriate and contributing to the efficient running of FCDA Community Centre

Description of key tasks
Respond to telephone calls from the public
Deal with routine enquiries that come in via email and post
Respond as the first point of contact at reception for visitors or users of the Centre
Maintain FCDA electronic calendar and schedule appointments
Organise filing of important and confidential FCDA documents
Maintain and update the FCDA database
Receive and manage the administration of bookings for the Centre including meeting rooms and report back on these to the Community Development Manager at intervals as required
Distribute and store correspondence (eg letters, emails and packages)
Manage office supplies stock and place orders as identified in collaboration with the Community Development Manager
Maintain the office space and undertake general filing tasks
Undertake other duties related to coordination of special events or as assigned
Contribute to administrative procedures, alongside the Community Development Manager, that relate to volunteers such as DBS checks, references and expense reimbursement
Undertake occasional key holder duties to lock and unlock the building on arrival and departure in liaison with the Community Development Manager as required
Provide administrative support recording and producing Trustee meeting minutes
Read and understand FCDA policies prioritising Health & Safety and Safeguarding policies
Undertake Introductory Safeguarding training as priority

 Undertake DBS check (arranged by FCDA)
 Trial period of 8 weeks

Skills and Qualifications Past experience of working in administration or office management roles Good customer care focus and excellent telephone and people skills Outgoing, friendly and proactive character Good written and verbal communication skills with attention to detail and follow-up Strong organisation skills with a positive problem-solving attitude Fully computer literate and comfortable with the main Microsoft Office Tools, databases, web search and email Ability to use your own initiative and self-aware to be able to ask for help when you need it Ability to prioritise your workloads to agreed deadlines Assist in the evaluation of existing and new computer software
