Volunteer Admin Assistant Role Overview:
We are seeking a highly organized and reliable individual to volunteer as an Administrative Assistant. In this role, you will support various administrative functions, helping to streamline office operations and ensure smooth communication and coordination within the team.
Key Responsibilities:
Email & Communication:
Answer phones and manage general inquiries.
Draft and send professional emails, letters, and other forms of correspondence.
Facilitate communication between team members and clients.
Scheduling & Planning:
Plan and organize appointments, meetings, and travel arrangements.
Coordinate with team members and clients to ensure schedules align.
Document Management & Organization:
File and organize documents, ensuring that all important files are easy to access.
Maintain and update calendars, keeping track of deadlines and upcoming events.
Project Support:
Assist with project management, tracking progress, and meeting deadlines.
Help with expense reporting and invoicing to ensure financial records are up-to-date.
Purchasing & Supplies:
Manage office supplies and ensure the team has the materials needed.
Work with vendors to place orders and track deliveries.
Basic Accounting Tasks:
Assist with basic accounting duties such as invoicing, reporting, and expense tracking.
Required Skills:
Strong organizational skills with attention to detail.
Excellent communication skills, both written and verbal.
Ability to handle multiple tasks and prioritize effectively.
Comfortable with basic accounting and financial tracking.
Proficient in Microsoft Office (Word, Excel, Outlook) and other administrative tools.
Previous administrative or office experience is a plus but not required.
Time Commitment:
Flexible hours, typically 5-10 hours per week.

Required Skills for Volunteer Administrative Assistant Role: Strong Organizational Skills: Ability to manage tasks efficiently, prioritize responsibilities, and maintain accurate records. Excellent Communication: Proficient in both written and verbal communication, capable of drafting professional emails and interacting with clients and vendors. Multitasking: Comfortable handling multiple tasks, including scheduling, document management, and basic accounting, all at once. Basic Accounting: Familiar with invoicing, expense tracking, and financial reporting. Tech Proficiency: Skilled in Microsoft Office (Word, Excel, Outlook) and comfortable with digital communication and scheduling tools. Attention to Detail: Able to manage calendars, deadlines, and documents with precision. Previous Experience: While not necessary, administrative or office experience is a plus.
